Parts of an APA-Formatted Reference List Citation Most APA references have the same four or five general components in the same order, with each component being followed by a period. The parts of an APA citation, in order, are: The name(s) of the author(s). The date. The title. Information about the publication. If the document was electronically accessed in a non-PDF format (internet or database), information about the date and location of the electronic viewing is also included. Here is a made-up example of an APA-formatted reference list citation for a journal article seen on the internet (but not in PDF format). The highlight colors show the various parts of the reference, which has been enlarged to make it easier to see. Doe, J. (2007). Sample of an APA-formatted document: How you can learn to correctly write an APA-formatted reference. Ficticious Journal of APA Formatting and Style, 10(100), 1000. Retrieved March 27, 2007, from http://madethisup.com/url You can usually create a good reference citation by filling in the bottom row of the template/table on the next page and converting that row of the table to text. The demo shows you how to do this, or you can follow the six steps at the bottom of this document. Name(s) Write Last name, First initial. (Note the period) Example: Doe, J. For two or more authors: Follow all but the last name with a comma Use & instead of and Example: Doe, J., Smith, W., & Garcia, O. Use the title if there is no identified authorDate Put the date in parentheses List the year first List additional information if available (month then day, or sometimes season) End with a period Examples: (2004). or (2004, July 27). or (2004, Summer).Title Capitalize ONLY the first word of the title (and subtitle) and any proper nouns Do NOT use italics, except for book titles (where the title is also the publication) End with a period Example: How Edison used patents. Example: Yoga: Your key to wellness. Book titles are italicized Place the edition number in parentheses Example: Being a professional (2nd ed.). If there was no identified author, the title was listed first and is NOT listed again here. If you electronically accessed a source that is also available in paper form, you place [Electronic version] in brackets before the period that follows the title.Publication Data List the publication using Title Case followed by a comma Next list the volume and then, in parentheses, the issue followed by a comma. Do NOT put a space bar between volume and issue List the page number(s) (or letters) Only use p. or pp. before the page number(s) for a newspaper End with a period List as much of this information as you have. You may not have it all. Italicize only the publication and volume Newspapers often exclude volume or issue Example: Journal of Science, 44(3), 22-35. Example: Washington Post, 313, pp. B1, B7. For books, list Location: Publisher. (That is a colon after location) Include the state, etc. in the location only if the city is well-know Example: New York: McGraw-Hill.Electronically Accessed Information (if needed) Include this section of the reference only if: you saw your reference on your computer, and if the document was NOT a PDF (if the document you saw was a PDF, cite it just as if you had seen the paper version of the document) Write Retrieved date from source The date is the when you saw it on screen The source is either: The exact webpage address (URL) if your source is a webpage, or The database from which you saw the source Example: Retrieved February 11, 2006, from http://www.supersite.com/index No period after a URL Example: Retrieved February 12, 2005, from Academic Premier database. Six Steps for Using This APA Reference List Citation Template: The first (multicolored) row contains instructions and examples. Complete the first four cells of the table in the bottom (yellow) row. Make sure to follow the instructions for each section. Complete the fifth cell of the bottom row (darker yellow) only if you accessed the information electronically in a non-PDF format. (PDF documents do not need an electronic reference; since they look just like the original print document, they are cited as if you had seen the printed version.) Highlight the entire bottom (yellow) row, go to the Table menu, select Convert, then select Table to Text, click the Other button, then hit the spacebar, then click OK. On the ruler, slide the bottom left (hanging) indent to the 1/2inch mark. This picture below shows the indent. Go to the Format menu, choose Paragraph, click the down arrow under Line Spacing, choose Double and click OK to double space the document (or you can use the double-space button on the main menu bar if it is available) You should have an APA-formatted reference you can copy and paste into a reference list $%fgi!
